Reconcilr ("we," "us," or "Company") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services, including our web-based Software as a Service platform (the "Service").
2. Data Sources
2.1 Information You Provide
When you create an account or use Reconcilr, you may provide:
- Account information (name, email, practice name, phone number)
- CSV files containing financial data (bank statements, ledger exports, transaction records)
- Communications (emails, support requests)
2.2 CSV Data is NOT Automatically Synced
Reconcilr processes data that you manually upload as CSV files. This data is NOT automatically synced from any accounting system, bank, or third party. You have complete control over what data is shared with us.
2.3 No API Integrations
Reconcilr does not maintain API integrations with Xero, QuickBooks Online, Sage, or other accounting systems. We do not store API credentials, access tokens, or authentication keys from any external service.
3. How We Use Your Data
3.1 Primary Data Processing
We process uploaded CSV data to:
- Match transactions using fuzzy logic algorithms
- Generate reconciliation reports
- Create audit-ready working papers and exports
3.2 Account Management
We use account information to provide access to the Service, communicate with you, process payments, and support your account.
4. What We Do NOT Do With Your Data
We do NOT:
- Share your data with third parties for marketing or other purposes
- Use your financial data to train machine learning models
- Sell your data to other companies
- Automatically sync data to any external system
- Access any system beyond what you explicitly upload as CSV
5. Data Retention
5.1 Upload Duration
Uploaded CSV data is retained only as long as the engagement is active. Once you delete an engagement, all associated data is permanently removed from our systems.
5.2 Account Deletion
If you delete your account, all your data (clients, engagements, uploaded files, working papers) will be permanently deleted within 30 days.
6. Data Security
Reconcilr uses industry-standard security measures to protect your data, including SSL/TLS encryption for data in transit and secure database storage. However, no security system is impenetrable. We cannot guarantee absolute security.
7. Your Rights (GDPR & UK Data Protection)
7.1 Access Your Data
You have the right to access all personal data we hold about you. You can download your data at any time through your account settings.
7.2 Delete Your Data
You have the right to delete your data. You can delete individual engagements or your entire account through the Service. Once deleted, data cannot be recovered.
7.3 Data Portability
You can request an export of your data in a portable format. Contact us at privacy@reconcilr.com to request a data export.
8. Multi-Tenant Data Isolation
Reconcilr maintains strict data isolation between different accounting practices. Your data is completely separate from other users. You will only see data from your own practice and clients.
9. Third-Party Services
Reconcilr does not integrate with third-party services. We do not share data with Xero, QuickBooks, Sage, or other accounting software. Your data remains entirely within Reconcilr's systems.
10. Payment Information
Payment information is processed securely and not stored by Reconcilr. We use third-party payment processors who handle payment security in compliance with PCI-DSS standards.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by updating the Effective Date at the top of this policy.
